 Ntebeko tours Booking Terms and Conditions Policy

Please make sure to read the following terms and conditions set by Ntebeko tours  regarding our safari services. It is entirely upon the client to read and understand these terms and conditions before finalizing a safari with Ntebeko tours.

Bookings & Reservations

  • Ntebeko tours Provides transportation, accommodation bookings, restaurant meals, excursions and other services in cooperation with independent suppliers.
  • All information detailed in client itineraries is given to the best of Ntebeko tourss’ knowledge and based on the latest information available. Ntebeko tour ltd cannot be liable for modified information from third parties, nor for any obvious typing errors.
  • To reserve domestic flights , chimpanze and gorilla permits we need: your full names as they appear in passport, your nationality and passport number.
  • Before confirming a safari, the client must inform Ntebeko tours of any preferences and special requests of the participants; e.g. medical needs, diet, requirements relating to disabilities and any other requirements. Ntebeko tours will meet the requests if possible.
  • All packages are subject to availability and not guaranteed until confirmed. Many lodges and hotels booked by Ntebeko tours have limited capacity and therefore it is essential to make reservations well in advance of your planned trip.

Proposed Itinerary

Upon receiving an inquiry, Ntebeko tours will propose activities and lodging options for the safari. All proposed activities and accommodation facilities are not considered final until the trip is paid for and confirmed by both the client and  Ntebeko tours team in writing.

     Tour Inclusions

All tours specify what is included in the itinerary when the tour is confirmed between Ntebeko tours and the client.  Ntebeko tours will work with the client to arrange activities, transport, park entrance fees, guides, lodging, and meals requested by the client. Ntebeko tours is in no way obliged to cover any expenses not included in the agreed itinerary with the client.

      Tour Exclusions:

Ntebeko tours does not cover international flights, travel medical insurance, emergency evacuation insurance, visa fees, drinks of any kind, gifts, tips, and other costs not included in the trip itinerary. In some instances, a tourist visa to DR Congo may be included in the quotation, and domestic flights within Uganda may be covered.

        Travel Medical Insurance

The client’s responsibility is to arrange sufficient and reliable travel medical insurance during the trip. Clients are advised to seek advice from their physicians on medications needed for the trip. We also recommend checking with your physician if any medication is needed for your trip (e.g., Malaria prevention medicine).

           Pricing Policy

All tours are quoted in USD. The quotation and terms therein agreed by Ntebeko tours and the client are final. However, when the booking is made in advance for gorilla permits, and suddenly there comes a statutory raise in gorilla permit trekking fees, Ntebeko tours reserves the right to revise, change, or alter the agreed tour quotation and itinerary to cover for the changes in trekking rates.

        Gorilla Trekking Permits Gorilla trekking permits are the property of the Uganda Wildlife Authority & Rwanda Development Board and are subject to availability. Ntebeko tours can only guarantee the availability of trekking permits after receiving the payment. We encourage all prospective clients to make a reservation for trekking permits way in advance of trekking. A 100% full payment for gorilla permits is mandatory when booking at least three months before the tracking date. Gorilla trekking permit fees are 100% non-refundable but, in rare circumstances, may be transferable to other customers.

    Chimpanze Trekking Permits

 Chimpanzee trekking at Kibale National Park can be done in the morning or afternoon, depending on the permits’ availability. Ntebeko tours reserves the right to reserve chimpanzee trekking permits for the morning session or afternoon shifts without prior consultation with the client.

Cancellation & Refund Policy

 (excludes gorilla permits):   •Cancellation requests must be in writing.  Ntebeko tours  reserves the right not to honor any cancellation requests not issued in writing.

  • When cancellation is effected 45-30 days before the trip, a 15% charge will apply.

When cancellation is effected 29-14 days before the trip, a 25% charge will apply.

We will charge 50% on cancellations made within 13-2 days.

For cancellation done within 48 hours or less, clients should not expect any refund.

  • If the cancellation of the trip is triggered by a global pandemic or major issue in the country for the tour that cannot permit the tour to run as planned, Ntebeko tours will communicate with the client on the next steps to reschedule the trip to a future date.
  • Ntebeko tours reserves the right to deduct all processing fees and bank dues before cancellation is finalized. For cancellation of gorilla permits, refer to policy #6 above.

Changing Booking

  • After your booking has been confirmed, should you wish to make any changes to your itinerary or if you would like an earlier departure date, we will make every effort to accommodate your requests based on availability. However, there may be extra costs involved to accommodate your request. These costs are in addition to the fee quoted to you for your initial safari. Normal cancellation fees apply if you wish to postpone your departure.

Invoices & Payments

  • Once the client has determined to purchase a tour and agreed with Ntebeko tours on the final rates, an invoice will be issued to the client. Payment should be scheduled following the terms stipulated in the invoice.
  • Once Ntebeko tours receive the payment, a confirmation of receipt shall be shared with the client.
  • Payments can be made via a secure credit card portal or through an international bank transfer. The payment details will be included in the invoice for the trip.

Accomodation

  • Ntebeko tours will prioritize reserving accommodation proposed in the safari itinerary. However, accommodation is subject to availability, especially around national parks. If a proposed lodging option is not available at the time the tour is confirmed, Ntebeko tours reserves the right to reserve alternative accommodation. Ntebeko tours will reserve alternative lodging within any distance to the tour activity point as long as the distance does not impede the client from enjoying the benefits of the tour. We serve clients interested in budget, mid-range, and luxury accommodation options. Clients interested in luxury accommodation should expect higher rates for tours.

Gorilla & Chimpanze Age

  • The minimum age to trek mountain gorillas in Uganda and Rwanda is 15 years, and 12 years is the minimum age for chimp trekking.

Prices on the website or quoted to our clients are subject to change without notice and are not guaranteed until confirmed in writing.

Complaints

  • Ntebeko tours shall try to ensure that the company exceeds the expectations in every area of the tour arrangements. However, suggestions are very much appreciated in order to keep improving the quality of the service.
  • Complaints must be reported immediately to the Ntebeko tours representative and to the supplier of the service in question, who will do their best to resolve the matter. If the problem is not solved to the client’s satisfaction, the complaint should be reported in writing and not later than 30 days after completion of the tour.
  • Liability for any complaints not notified in accordance with the above described procedure cannot be accepted.
  • Ntebeko tours reserves the right to adjust prices at any time should there be any fluctuation in the exchange rate or increase in the cost of any element of the tour. The company will however make every effort to minimize any increases.

Execution Of The Tour

  • It is a privilege to see animals in their natural habitat and as such, we cannot guarantee wildlife or game viewing. You must take caution when viewing the animals and carefully follow the instructions given by either the tour guide or wildlife rangers.

Also Ntebeko tours reserves the right to refuse any person from participating or continuing any tour if, in Ntebeko tour’s opinion or in the opinion of any person

Hazards and Road Safety

  • The mode of transport used will be dependent on the number of clients and the route taken, based on the specifications of the chosen itinerary. Every effort is made to ensure that vehicles are provided in a roadworthy condition but no liability can be accepted for a puncture, breakdown, damage, or any delay as a result of the poor road conditions The mode of transport used will be dependent on the number of clients and the route taken, based on the specifications of the chosen itinerary. Liability

  • Ntebeko tours will make every effort to ensure that all arrangements and services offered as part of the safari are carried out as specified in the most efficient way possible. However, the company does not have direct control of the provision of services by suppliers and, whilst every supplier is chosen with the utmost care, Ntebeko tours does not accept liability for errors or omissions of such suppliers.
  • Ntebeko tours shall not be liable for any loss, damage or injury of any nature whatsoever whether to person or property.
  • Whilst every care is taken, Ntebeko tours cannot be held responsible for the direct or indirect costs of loss or damage to baggage or personal possessions.
  • Ntebeko tours cannot accept liability or pay compensation for unforeseen circumstances beyond the control of the company or its staff, including flight delays/cancellations or force majeure such as war or threat of war, riots, civil disturbances, terrorist acts, border closure, acts of government or other authorities, strikes, thefts, epidemics, road closures, industrial disputes, natural or nuclear disaster, extreme weather conditions, fire, technical and/or mechanical problems to transport and all similar events beyond the company’s control.
  • It is the responsibility of the travel agency/wholesaler to ensure that all members of the tour have the appropriate passports, visas, travel permits, health certificates and other documentation required for the safari.
  • It is the responsibility of the clients to take proper medical and practical precautions in regard to health and safety. Medical advice should be sought well before travelling.
  • Clients are strongly advised to obtain comprehensive travel insurance before coming to Uganda. Local evacuation coverage is available in the unlikely event of a medical emergency while on safari with Ntebeko tours

 

  • The respective laws of the country govern Ntebeko tours’ liability to passengers carried in its own vehicles. All claims are subject to the jurisdiction of the courts of the country in which the cause of action arises.

  Smoking

Ntebeko tours  forbids smoking in any vehicle operated by the Company. Frequent stops can be arranged for those who desire to smoke. All accommodation will be reserved with non-smoking rooms, unless the client specifically requires a smoking room. Confirmation is depending on hotel availability.

Waiver

The Company will undertake to ensure the safety of the client throughout the tour, however aspects of each particular tour may not be without an element of danger. Clients should be prepared to sign a ‘Waiver of Responsibility’ form before they begin their tour. This form is an understanding that all clients need to exercise judgement and care at all times to ensure their own safety and that of their fellow tourists.
